A Sales Operations Coordinator, is a mid-level role responsible for supporting the sales team and ensuring the smooth operational flow of the sales process. This position involves assisting with critical documentation (including regulatory compliance forms), coordinating proposals and third-party services, maintaining CRM data hygiene, and following up on deliverables to guarantee timely client service. The role is full-time and remote, requiring alignment with Riyadh (KSA) business hours, and it reports directly to the Sales Director. Fluency in both Arabic and English is essential for success in this position.
What You’ll Do
- Documentation & Compliance: Assist the sales team in completing and managing all required documentation, including government/regulatory vendor forms (e.g. SAMA and NCA compliance forms) and other sales paperwork. Ensure accuracy and timely submission of these documents.
- Proposal Coordination: Coordinate the preparation of sales proposals and bids. Gather inputs from various stakeholders, compile proposal documents, and make sure proposals are professionally formatted and submitted by deadlines.
- CRM Management: Maintain and monitor the CRM system (e.g. HubSpot) for data hygiene and accuracy. Update leads, opportunities, and client information regularly, and ensure that the sales pipeline status is always up-to-date. Generate basic reports or summaries from the CRM to support sales meetings and decision-making.
- Supplier & Partner Coordination: Liaise with third-party service providers and partners to coordinate their engagement in sales opportunities. Schedule service delivery with these partners, obtain necessary quotes or statements of work, and follow up to ensure partner deliverables align with client expectations.
- Follow-up on Delivery: Track client delivery progress post-sale. Work closely with internal teams (and external partners where applicable) to monitor timelines for delivering products or services to clients. Proactively follow up on any delays or outstanding tasks, keeping the sales team and clients informed of progress and next steps.
- Operational Workflow Improvement: Identify and address any bottlenecks in the sales operations process. Ensure a smooth handoff between sales and delivery teams by coordinating tasks and information flow. Continuously suggest or implement small process improvements to enhance efficiency and client satisfaction.
- Experience: 3-5 years of experience in sales operations, sales support, project coordination, or sales administration (mid-level roles). Experience in a B2B technology, SaaS, or cybersecurity environment is a plus (not mandatory).
- Language Proficiency: Fluency in Arabic and English (written and spoken) is required. Excellent communication skills with the ability to draft emails, reports, and documents in both languages.
- CRM & Tools: Hands-on experience with CRM software such as HubSpot. Familiarity with productivity and project-tracking tools (e.g., Excel/Google Sheets, Trello, or other project management tools) for organizing tasks and data.
- Organizational Skills: Outstanding organization and time management abilities. Able to juggle multiple tasks, keep track of deadlines, and maintain orderly documentation. Attention to detail is critical, especially when handling official forms and data entry.
- Follow-up & Coordination: Strong coordination and follow-up skills. Proactive in chasing down updates from team members or vendors, and ensuring nothing falls through the cracks. A demonstrated ability to keep projects on track and nudge stakeholders as needed.
- Adaptability: Self-motivated and capable of working independently in a remote setting while collaborating effectively with a distributed team. Comfortable in a fast-paced environment and able to adjust to changing priorities.
- Domain Knowledge (Plus): Knowledge of or exposure to cybersecurity concepts, regulatory compliance (e.g. familiarity with SAMA or NCA requirements), or experience in a compliance-heavy industry is a plus. This is not mandatory but will help in understanding our products and client needs more quickly.
Working Hours & Reporting
- Working Hours: Full-time, remote position. Must be available to work 9:00 AM – 6:00 PM Riyadh local time (AST), Sunday through Thursday, aligning with KSA business hours.
- Reporting To: This role reports directly to the Sales Director of COGNNA.
