The role
We are seeking a passionate Commercial Coordinator to join our rapidly expanding global organization. As a member of our Iberian team, you will play a crucial role in bringing order and structure to many processes to operationalize our affiliate, being part of a growing team of enthusiastic, scrappy people committed to making a difference in patients’ lives. This is a cross-functional role that will report directly to the Associate Director, Marketing and will work very closely with the Office Manager.
This is an exciting opportunity to join our newly established Iberian affiliate and to become part of a fast-paced environment, collaborating with cross-functional, global teams working together to achieve extraordinary results.
You will work full time (40 hours/week) – from 9.00 am to 18.00 pm- and you will be expected to work in the office 3+ days per week.
Your key responsibilities will be:
- Manage and follow up on contracts, purchase orders (POs), work orders, and invoices from issuance to closure, ensuring correct contractual and financial execution.
- Generate periodic reports on the status of POs, contracts, and compliance for the commercial team.
- Coordinate the review, signing, and filing of commercial contracts, in collaboration with the legal team.
- Provide admin support to Commercial teams (Sales, Marketing and Market Access) in terms of logistics for events.
- Support Office Manager’s overview of Commercial investments/budget tracking.
- Ensure compliance with internal and external policies related to commercial compliance.
- Keep the contract database and associated documentation up to date.
- Act as a point of contact between sales, finance, legal teams, and clients for matters related to commercial operations.
- Maintain direct contact with Global Legal, Compliance, Finance and Pharmacovigilance.
- Coordinate logistics in congresses and events.
- Collaborate in the improvement and automation of operational processes, including the implementation of more efficient tools or workflows.
- Collaborate across departments in a cross-functional role.
- Participate in Brand Teams organized by marketing.
- Support internal and external audits related to commercial documentation.
- Commit to making the office a welcoming atmosphere.
