Work description:
1. To assist Japanese officer to implement JDS scholarship project
2.To make necessary arrangements for recruitment and selection of scholars
3. To support procedure of sending and scholars to Japanese universities
4. External affairs to contact, coordinate and negotiate with various levels of the project stakeholders (government officials and other organizations of Kenya and Japan)
5. To assist an accounting works (Collection, sorting, making copy of invoices, etc.)
6. Secretarial tasks such as a bookkeeping, data entry and management, drafting business / official documents, sending documents, etc
7. To conduct VISA & Stay Permit matters with local immigration department for Japanese guests
8. Daily maintenance of the office equipment (Office equipment, stationeries, etc.)
9. Other duties as assigned
Qualifications
- Academic background bachelor’s degree
- Work experience Minimum 3 year-experience of office work
- Language skill Fluent English and Swahili proficiency in speaking, writing, listening and reading.
- Computer literacy Microsoft Word, Excel, Power Point, experience of TV conference through Zoom and Teams (Microsoft)
- Overtime will be offered depending on working situation.
- Good understanding of the government of the Republic of Kenya, government works and practices.
- Good communication skills to maintain relationships with governmental authorities and Scholars, colleagues, and any Japanese and Kenyan people related to the JDS project
- Sincere and faithful personality to comply with rules on work and attendance management.
- High sense of responsibility, willingness to take initiative, meeting deadlines, pro-activity and team spirit are important assets
- Willingness to understand the scholarship program, development/social issues in the Republic of Kenya, Japanese culture and society
- Experience of working in international organization is preferable.
- Accept and respect Japanese ways of thinking, customs, and manners.
