The Role:
Overview
We are seeking a detail-oriented and proactive Accounts Assistant to manage the end-to-end Accounts Receivable process. This role serves as the first point of contact for customers and internal teams regarding billing, payments, and account inquiries. The ideal candidate will ensure accuracy and efficiency in all AR operations, maintaining strong financial controls, debtor management and supporting a smooth flow of financial information.
Accounts Receivable Duties:
• Manage the Accounts Receivable process from start to finish, acting as the primary contact for all customer and employee queries.
• Perform monthly and annual closing activities, ensuring accuracy and completeness of receivables, including monthly reconciliation of the receivables balance sheet.
• Carry out general receivables duties such as sales reconciliations, daily bank reconciliations, and ongoing monitoring and follow-up of outstanding customer balances.
• Post sales orders, invoices, and credit notes in the finance system in a timely and accurate manner.
• Monitor bank receipts and post transactions promptly into the finance system.
• Ensure all recharge invoices are raised accurately and in a timely manner.
• Manage the accounts inbox, ensuring all customer and internal inquiries are addressed efficiently.
• Complete supplier / customer onboarding forms for new accounts as required.
• Perform CRM-to-finance system reconciliations to ensure completeness and data integrity.
Accounting Duties:
• Perform bank reconciliations and ensure all cash movements are accurately recorded.
• Process and manage deferred and accrued revenue entries in accordance with accounting standards.
• Prepare and review balance sheet reconciliations, ensuring all balances are accurate and supported.
• Post interest journals, maintain fixed asset registers, and record depreciation schedules.
• Prepare and submit VAT returns in compliance with statutory deadlines.
• Handle intercompany postings and reconciliations to ensure alignment across entities.
• Support month-end analysis and provide variance explanations where required.
Accounting Duties:
• Produce weekly sales reports and assist with ad hoc financial reporting and analysis as requested.
• Provide audit support, including preparation of schedules and supporting documentation.
• Provide cover for Accounts Payable during absence or peak workload periods.
Required qualifications and experience (This is the minimum criteria for the role) :
• Accounting Qualification ( AAT Level 3 completed as a minimum, if ACCA / CIMA /ACA you must have passed basic level exams ). QBE also considered.
• Minimum 2 years experience working in Accounts Receivable and general accounting (if QBE we would require a minimum of 3 years in a similar role )
• Intermediate Excel Skills (formulas, lookups, pivot tables)
• Strong understanding of accounting principles and financial reconciliation processes.
Computer skills:
• Ability to adopt new systems quickly and competent using different systems.
• Experience with Netsuite / HubSpot would be highly advantageous.
• Intermediate Excel skills and experience with data analysis
