We’re looking for a Sales Administrator to join our team in, Rungis, France for a 6 month Fixed Term Contract.
The Sales Administrator supports the Commercial team, ensuring the smooth operation of the department. This position is responsible for managing supplier payments, currency requirements, and shipping documentation, as well as supporting compliance with import/export regulations. This is an opportunity to make a direct impact on the efficiency and financial accuracy of our business processes.
Responsibilities include:
- Maintain and update our internal systems, ensuring that information and data held is accurate and up to date.Â
- Keep thorough records of all transactions, ensuring easy access for audits and reporting purposes.Â
- Support with the timely processing of invoices and handling approvals as needed.Â
- Calculate and schedule payments for advances and balances in line with supplier contract terms.Â
- Follow up with buyers on unresolved payment issues to prevent delays.Â
- Maintain accurate records of supplier terms, claims, and any special payment conditions to facilitate smooth transactions.Â
- Collaborate closely with procurement teams to support purchasing processes.Â
- Track and update supplier communications, ensuring alignment on payment schedules, seasonal adjustments, and outstanding queries.Â
- Oversee shipping documentation procedures, staying informed of any regulatory or procedural changes and support with import/export documentation requirements for the EU & UK.Â
- Collaborate with overseas agents to ensure all documentation is complete for customs obligations.Â
Experience we look for:
Essential
- Previous experience of working in a commercial organisation, either within sales or administration.
- Fluent in French (Native/C1-C2).
- Ability to collaborate effectively with external and internal teams to resolve issues and ensure timely resolutions.
- Strong computer skills (MS Office suite).
- Ability to convey information clearly and resolve issues in a timely and professional manner.
Desirable
- Fluency in an additional European language is highly beneficial (English, German, Dutch).
- Experience in the food industry or fresh produce would be advantageous but not essential.
