The HR graduate will assist with providing quality HR compliance and administrative support to the HR team. The HR graduate will gain practical exposure to the entire employment life cycle including, but not limited to, recruitment and selection; performance management; labour relations; compensation, benefits and reward; organisational design; employee wellness and succession planning.
Job ResponsibilitiesOn-boarding and Terminations
- Assist with the administration of new joiners and leavers.
- Schedule information and induction sessions.
- Updating employee files, with necessary documents, i.e. signed employee contracts, etc.
- Assist with leaver administration, i.e. UI19s, Certificates of Service, etc.
Recruitment
- Assist with the Pre-Employment processes.
- Post new positions on various career sites.
- Sort incoming resumés and log them into appropriate tracking spreadsheets.
- Assist with coordinating candidate interviews and psychometric assessments and other verification checks.
- Assist with performing reference and background checks.
Develop and Maintain HR Compliance Knowledge
- Assist with developing current knowledge of HR Laws and Regulations.
- Keep abreast of new developments in the HR field.
- Regularly update HR information databases.
- Keep abreast of document retention requirements, i.e. POPIA.
Project Management and Reporting
- Track progress, deadlines, and priorities of all projects.
- Research and collect data for various HR initiatives.
- Update weekly/monthly HR i.e., monthly timesheet submissions, recruitment and IR trackers.
- Ad- hoc HR projects as needed.
- Participate in organizing company events and careers days
Payroll
- Assist with tracking employee movements, terminations, retirements, dismissals and transfer of employee from one entity to another and retrenchments.
- Gathering payroll data like working hours, leaves and bank accounts
General Admin
- Updating various databases including the IR log, applicant flow, HRIS, etc.
- Assist with training and development processes, i.e. source training providers, scheduling external and internal training/workshops, etc.
- Creating new personnel files on the online filing system and maintaining electronic and physical employee files.
- Update the group organogram monthly.
- Payment Requisitions – Timeous submission and payment of all creditors.
- Address employee queries with the guidance of the HR Business Partner
Compliance & Governance
- Assist with executing in adherence to all relevant regulatory and business practices.
- Ensure timely delivery on all statutory reporting requirements.
- Assist in managing all HR/Operations Audit exceptions and ensure the implementation of preventative measures in the unit.
Desired Skills and Qualifications
- Industrial Psychology/HR Management/Labour Relations Bachelor’s Degree.
- Knowledge and understanding of the BCEA, LRA, EEA, OHSA and other labour related Acts and regulations.
- Good written and oral communication skills.
- Good reporting analytics skills.
- Ability to effectively learn and acquire new knowledge and skills.
- Proficient in Word, Excel, PowerPoint, and Sage Payroll system.
