Duties & Responsibilities
- As a Procurement Assistant at company , will be responsible for supporting the procurement process which involves assisting with the sourcing of suppliers, obtaining price quotations, supporting the purchase to pay process, maintaining records, and conducting various analyses on the purchasing activity within the organization.
- The role works closely with the cross functional teams to ensure timely and cost-effective procurement of goods and services.
Core Function
- Utilising Purchasing guidelines to ensure all purchases and contracts are implemented without violation.
- Assist in tracking and monitoring compliance with project documents. Interact with various equipment and service vendors.
- General clerical support for the Procurement department.
- Be flexible & willing to learn and assist in all aspects of Procurement.
- Assist with management reporting to address procurement requirements.
- Taking minutes of all Procurement related meetings.
- Assist with reviewing procedures associated with the procurement process.
- Creates and maintains a filing system both electronically and manually as related to the record keeping of all documents as related to this specific function (job)
- Attends and follow up on actions required by Procurement Department.
- Assist Buyer with issuing of enquiries to ensure they meet deadlines.
- Follow up on outstanding quotations to ensure buyers meet deadlines.
- Update the supplier database for new suppliers or when supplier details change
- Ensure that proper, signed vendor application forms and credit applications are in place
- Follow up on outstanding requisitions as directed by the Seniors.
- Assist in ensuring that all related purchase documentation and general record keeping is completed to a high order of accuracy and in a timely fashion.
- Willingness, when the need arises, to take on colleagues tasks without prompting and to provide cover during periods of absence.
- To follow up with suppliers in order to ensure valid and updated BBBEE certification (ratings).
- Managing Supplier Database and ensure all required details are up to date.
Desired Experience & Qualification
Experience Required
- Minimum 3 years’ experience in a similar position.
- High degree of Computer Literacy – generation of monthly reports, spreadsheets.
- Hands-on background in the implementation of short- and long-term purchase or contract terms.
- Working knowledge of purchasing and expediting.
- Ability to liaise with various outside suppliers / vendors.
- Procurement buying experience is an advantage.
- Enterprise system skills (ACCPAC/SAP) preferred or demonstrated systems capabilities.
- Strong financial and commercial acumen.
- Good time management skills.
Technical Skills And Qualifications Required
- N 6 or Diploma in Procurement or Equivalent a must
- PC Literacy a must: MS Outlook, Word, Excel, PowerPoint & Ms Project
