Job Description: Freelance Office Manager

PANIC THE MOTHER is a women’s fashion brand with a strong emphasis on mental health.
We are looking for a highly organised and experienced Freelance Office Manager. This is not a creative role, and the candidate will not be working within the fashion side of the brand. This is an admin role that requires initiative, precision, and the ability to coordinate across teams and functions in a dynamic start-up environment.
Key Responsibilities
- Oversee daily general administrative duties and ad hoc tasks.
- Act as the main point of contact for staff across the company.
- Maintain and organise digital filing systems.
- Support with diary management and scheduling cross-team deadlines and meetings.
- Handle invoice payment, logging, and maintenance of records.
- Manage purchase orders and supplier correspondence.
- Coordinate logistics tasks, including DHL and freight communications.
- Liaise with finance teams and outsourced functions (accountants, agencies, consultants).
- Support onboarding and offboarding processes.
- Arrange and track staff travel requirements.
- Assist in maintaining key records such as Assets, Manufacturing Plans, and Bill of Materials (BOM).
- Oversee the smooth flow of product samples and returns between suppliers, PR, and production partners.
- Monitor seasonal critical path timelines, ensuring deadlines are met and risks escalated.
- Willing to gain an understanding of fashion production cycles.
- Track supplier contracts, compliance documents, and freelancer agreements on an ongoing basis.
- Coordinate workflows with team members, freelancers, and agencies.
- Maintain efficient use of remote team communication tools.
Key Requirements
- Minimum 2+ years demonstrable experience as an Office Manager.
- Strong background in administration, logistics, and finance liaison.
- Proactive, detail-oriented organiser with the ability to manage multiple priorities in a start-up environment.
- Competence in Google Workspace / Microsoft Office, digital file organisation, and project management software.
- Excellent communication skills for liaising with diverse team members and external partners.
- Based in the UK, with a preference for London-based candidates who can occasionally meet vendors, attend meetings, or industry events.
- Self-motivated, reliable, and autonomous in a remote team setting.
